This policy outlines how the Bolt Organizing Committee ("we," "us," or "our") manages your personal information during the Bolt Sportsfest 2025 event ("Sportsfest"). By registering for, volunteering at, or attending the Sportsfest, you agree to this policy.

We only collect information necessary to run the competition and ensure participant safety:

  • Registration Data: Your name, email, phone number, age/date of birth, gender, team name, and specific events you've signed up for.
  • Emergency & Safety Data: Emergency contact name and phone number, and relevant medical/allergy information provided voluntarily by you.
  • Media & Image Data: Photographs, videos, and audio recordings captured by our official media team or partners during the event.

2. How We Use Your Data

Your data is used strictly for the following purposes:

  • Event Operation: Processing registrations, creating heat sheets and schedules, calculating results, and communicating important event updates (e.g., weather delays, schedule changes).
  • Safety & Welfare: Providing necessary contact and medical information to on-site medical and safety personnel in case of an emergency.
  • Publicity & Promotion (Media Consent): Using official photos and videos to promote the Bolt Sportsfest and future events on our website, social media channels, and in post-event summaries.

3. Media and Publicity Consent

By participating in the Bolt Sportsfest, you grant the Organizing Committee permission to use your likeness (photos, video, and audio) for promotional and archival purposes related to the Sportsfest, without further compensation.

Opt-Out Provision: If you DO NOT wish to be photographed or videoed, please notify the registration desk upon check-in to receive a designated marker. While we will make every reasonable effort to exclude individuals with this designation from feature shots, we cannot guarantee exclusion from spontaneous crowd shots or general footage of the competition area.

4. Data Security and Sharing

Security: We maintain appropriate administrative and technical safeguards to protect your personal data from unauthorized access or misuse.

Limited Sharing: We do not sell your personal information. We only share necessary data with essential third parties directly involved in the event, such as:

  • Timing Companies: To ensure accurate results.
  • Medical Staff: For emergency care only.

These Terms and Conditions ("Terms") govern participation in the Bolt Sportsfest 2025 ("Sportsfest") organized by the Bolt Organizing Committee ("Organizers"). By registering for or participating in the Sportsfest, you agree to be bound by these Terms.

1. Registration and Eligibility

1.1. Acceptance of Terms: Registration is only complete upon full payment of the required fees and agreement to these Terms, the accompanying Waiver and Release of Liability (if separate), and the Sportsfest Privacy Policy.

1.2. Age and Category: Participants must accurately represent their age and eligibility for the category they enter. The Organizers reserve the right to verify ages and disqualify participants found to have misrepresented their information.

1.3. Substitutions: Team captains or individual entrants wishing to make substitutions must notify the Organizers by the established deadline. Unauthorized substitutions may result in disqualification.

2. Participant Conduct and Safety

2.1. Rules of Play: All participants must adhere strictly to the official rules, regulations, and formats specified for each event, as well as instructions given by referees, officials, and staff.

2.2. Sportsmanship: Participants are expected to maintain a high standard of sportsmanship, respect for opponents, officials, staff, and spectators. Aggressive, abusive, or unsportsmanlike conduct will result in immediate disqualification and possible removal from the premises without a refund.

2.3. Fitness and Risk: Participants confirm they are medically fit and sufficiently trained to participate in the events and acknowledge the inherent risks associated with competitive sports, including but not limited to injury, illness, or property damage.

2.4. Personal Property: The Organizers are not responsible for lost, stolen, or damaged personal property belonging to participants or spectators. Participants should secure their valuables.

3. Liability and Risk

3.1. Waiver: By participating, you voluntarily assume all risks, hazards, and dangers incidental to the Sportsfest. You hereby waive, release, and discharge the Organizers, sponsors, and all associated personnel from any and all claims, liabilities, or demands of any kind arising out of or related to your participation, including injuries or death.

3.2. Medical Treatment: You consent to receive medical treatment, which may be deemed advisable by the Organizers or medical personnel in the event of injury, accident, or illness during the Sportsfest.

4. Event Changes and Cancellation

4.1. Event Modification: The Organizers reserve the right to modify, postpone, or cancel any event, game, or the entire Sportsfest due to unforeseen circumstances, including but not limited to severe weather, safety concerns, or government mandate.

4.2. Refunds:

  • If the entire Sportsfest is canceled by the Organizers, participants will be offered a partial or full refund of registration fees, minus administrative costs incurred.
  • No refunds will be issued for voluntary withdrawals, non-attendance, or disqualification due to misconduct or rule violations.

5. Intellectual Property and Media

5.1. Media Rights: As detailed in the Bolt Sportsfest Privacy Policy, you grant the Organizers and their partners the perpetual, worldwide, royalty-free right to use, publish, and display photographs, video recordings, and audio recordings of your participation for promotional and archival purposes.

5.2. Logos and Branding: All official logos, branding, and intellectual property associated with the Bolt Sportsfest are owned by the Organizers. Unauthorized use, reproduction, or distribution is prohibited.

6. General Provisions

6.1. Severability: If any provision of these Terms is found to be invalid or unenforceable, that provision will be severed from the rest of the Terms, which will remain in full force and effect.

6.2. Governing Law: These Terms shall be governed by and construed in accordance with the laws of Government Of Pakistan.

Entry Control & Access Management

  • Check tickets/passes, perform consent-based bag checks, and prevent unauthorized access at all entry/exit points.
  • Position personnel in high-traffic areas and choke points to manage crowd flow and prevent overcrowding.
  • Use conflict resolution training to manage disruptive, intoxicated, or aggressive attendees, leading to non-violent removal if necessary.
  • Ensure all attendees and participants follow the Sportsfest rules and Terms & Conditions.
  • Secure the perimeters of restricted areas (VIP tents, staging areas, technical zones).
  • Act as the first point of contact for minor incidents and immediately escalate serious issues.

Armed Security Personnel

  • Station armed guards at main entrances, control centers, and critical infrastructure points to deter serious threats (Note: Armed personnel must comply with all local laws and licensing).
  • Operate armed personnel under a clear, legally compliant Use-of-Force Protocol, reserving lethal force as a last resort.
  • Ensure all armed personnel have current state/local licenses, firearms certifications, and proper insurance.

Explosive Detection & K9 Units

  • Conduct pre-event explosives detection (EOD) sweeps of the entire venue and check delivery vehicles using K9 units.
  • Deploy K9 units at entry perimeters for highly effective search and psychological deterrence against illegal substances or weapons.
  • Utilize highly visible K9 teams for patrols in perimeter and common areas to maximize their deterrent effect.

Command & Communication

  • Establish a central hub, a Unified Command Post, where leads of all security teams (unarmed, armed, police/K9) can coordinate operations.
  • Define explicit, rehearsed protocols for incident handoff from unarmed staff to armed security or law enforcement.
  • Utilize dedicated, reliable two-way radio channels and backup communication methods to link all security teams.
  • Have rehearsed Emergency Action Plans (EAPs) for scenarios like medical emergencies, fire, and large-scale evacuations.
